Who records the money
Four of the six seats can bring money in and record spending.
Recording money Which seats may create a receipt or an expense?
- Nazim, Mutamid, Incharge Finance
- Everything: receipts, expenses, events, donors, liabilities, assets and budgets.
- Consumer
- Donors, receipts and ordinary expenses. Not events, not opening balances.
- Nazim-e-Aala, outside Markaz
- Nothing. The seat reads the whole organisation and writes in Markaz only.
- Auditor
- Nothing at all. No screen in the auditor’s app creates or edits a record.
Who decides on it afterwards
Whoever submits a record never has the last word on it.
The chain a submitted expense walks - SubmittedBy whoever recorded it
- Incharge FinanceOnly if the pocket switched this stage on
- NazimThe pocket’s own review
- AuditorThe outside review, and the final word
Most pockets do not use the finance stage, so most records go from submitted straight to the Nazim.
What only a Nazim can do
Membership, the pocket itself, and opening the books.
The Nazim’s own list - Invite and remove peopleAnd set what a Consumer may do
- Opening balancesNo other seat can record one
- Create a child pocketAnd appoint its auditor
- Submit the period closeOnce a period’s work is done
What the Consumer seat deliberately cannot see
No balance anywhere, and no Reports tab. In the Ledger, only the entries that seat created.
This is enforced by the server, not by hiding buttons. It stays true however the app is opened.
The same app, two seats What is on screen?
- Incharge Finance
- Balance on Home, a Reports tab, and the whole pocket’s entries in the Ledger.
- Consumer
- No balance, no Reports tab, and only their own entries in the Ledger.
Nobody reviews their own work
The outside review is never done by the person who wrote the record.
You recorded it yourself. Can you review it? Which review are we talking about?
- The pocket’s own review, as its Nazim
- Yes. A pocket with one active Nazim would otherwise be stuck.
- The finance stage, as its Incharge Finance
- Yes, for the same reason.
- The auditor’s review
- Never. There is no exception at this stage, which is what makes it worth having.
If something goes wrong
- A colleague has a button I do not have. Is my app broken?
- Almost certainly not. Compare seats first: a Consumer and an Incharge Finance see genuinely different screens. If you both hold the same seat in the same pocket, ask your Nazim whether your access has been narrowed.
- Can I hold two seats at once?
- You can hold seats in different pockets. You cannot be the auditor of a pocket and hold any other seat in that same pocket, and you can only audit one pocket at a time.
